Seats Management

In Harmony, a "seat" is a paid license that you allocate to a user in your workspace. Users can exist in your workspace without a seat, but only users with an allocated seat have full access to Harmony's features. The number of seats you purchase determines how many people on your team can be active at the same time.

The Seats Page

To manage your seats, open Workspace Settings → Billing → Seats. (Billing-related menu items only appear if your role grants billing read or update permissions — by default these are admin permissions.) At the top of the page, you'll see the Seat Overview, which gives you a quick snapshot: how many total seats you've purchased, how many are currently allocated to users, how many are still available, and the price per seat on your current plan.

Below the overview, the Users & Seat Allocations section lists every user in your workspace along with their email, role, team memberships, and current seat status. You can filter this list by seat status, role, or team, and search for specific users by name or email.

How Seats and Users Work Together

It's important to understand that users and seats are separate concepts in Harmony. Adding someone to your workspace doesn't automatically use up a seat. A user without an allocated seat will appear in the list with a status of No Seat and won't have access to Harmony's core features. Once you allocate a seat to them, their status changes to Allocated and they gain full access.

Allocating and Deallocating Seats

To give a user access, find them in the Users & Seat Allocations list and click Allocate Seat in the Actions column. The seat is assigned immediately and the user can start using Harmony right away.

If someone no longer needs access — for example, if they've changed roles or left the team — you can click Deallocate Seat next to their name. This frees up that seat so it can be assigned to someone else. The user remains in your workspace but loses access to Harmony features until a seat is allocated to them again.

Changing Your Total Seat Count

If you need more seats than you currently have (or want to reduce your total), click the Change seats link in the Seat Overview section at the top of the page. This lets you adjust the total number of purchased seats for your workspace.

Your plan may have a minimum number of seats required, which is shown in the Seat Overview under Plan Limits. You won't be able to go below that minimum, and you also can't reduce your total below the number of seats currently allocated to users — you'd need to deallocate some seats first.

How Seats Affect Billing

Each seat is billed at the per-seat price shown in the Seat Overview. The price depends on your current plan and billing cycle (monthly or yearly). When you purchase additional seats partway through a billing cycle, the charge is prorated for the remaining days in the period. When you reduce your seat count, the change typically takes effect at the start of your next billing cycle.

Keeping Seats Optimized

It's a good idea to periodically review your seat allocations to make sure you're getting the most out of what you're paying for. Look at which users have allocated seats and whether they're actively using Harmony. If some users are no longer active, deallocating their seats frees them up for team members who need them.

If you're consistently running out of available seats, it may be time to purchase more. On the other hand, if you have several seats sitting available for long stretches, reducing your total seat count can bring your costs down.

Troubleshooting

Can't allocate a seat to a user? Check whether you have any available seats in the Seat Overview. If all your purchased seats are already allocated, you'll need to either deallocate a seat from another user or purchase additional seats via the Change seats option.

Seat count doesn't look right? Review the Users & Seat Allocations list and use the filters to check allocated versus unallocated users. If there's still a discrepancy, contact support.
